At Vasanthi Air Travels, we provide travel-related assistance and agency services, including air ticket booking, visa assistance, passport application assistance, domestic and international tour packages, and certificate attestation support. This Refund & Cancellation Policy explains how cancellations and refunds are handled for our agency service charges and third-party services.

By making a payment to Vasanthi Air Travels, you acknowledge that our agency service charges and payments made to airlines, government departments, or other service providers may be subject to different terms and conditions.

1. About Our Services

Vasanthi Air Travels operates as a travel service agency. Depending on the service requested, we may provide booking assistance, consultation, application guidance, documentation support, coordination, processing assistance, and communication with relevant service providers.

Our agency service charges cover the professional assistance and work provided by us. These charges are separate from airline ticket fares, government fees, visa fees, and other third-party charges wherever applicable.

2. Refund Policy for Agency Service Charges

Our agency service charges are non-refundable once work on the requested service has commenced.

Once we begin processing a customer’s request, our work may include consultation, collecting and checking information, reviewing documents, preparing applications, coordinating with service providers, processing booking requests, or providing other agreed assistance.

• Agency service charges are non-refundable once the requested work has commenced.
• Cancellation of a customer’s request after work has started does not automatically qualify for a refund of our service charge.
• If a customer changes their mind, delays providing documents, or decides not to proceed after our work has started, the agency service charge remains non-refundable.
• If a third party rejects an application or does not provide the expected outcome, our service charge remains non-refundable, subject to applicable law and any written agreement made with the customer.

3. Cancellation Before Work Begins

If you request cancellation before we have started any work on your service, please contact us as soon as possible.

Any refund request made before work begins will be reviewed based on the service purchased, the status of the request, any costs already incurred, and applicable legal requirements. A refund is not automatic and will be confirmed by Vasanthi Air Travels after reviewing the circumstances.

Where a payment includes both our agency service charge and amounts payable to a third party, each component will be considered separately.

4. Air Ticket Booking – Ticket Fare and Agency Service Charge

Air ticket booking involves two separate components:

• Airline Ticket Fare: The amount charged for the flight ticket, subject to the concerned airline’s fare rules and conditions.
• Vasanthi Air Travels Service Charge: The separate charge collected for our booking assistance, processing, coordination, and related agency services.

4.1 Airline Ticket Amount and Refunds

If you cancel an air ticket or need a refund of the ticket fare, you must follow the cancellation and refund procedure of the airline that issued the ticket. Where the booking was made through a third-party booking platform, that platform’s applicable procedure may also need to be followed.

• Airline refunds are governed by the airline’s fare conditions, cancellation policy, and applicable rules.
• The airline determines whether the ticket is refundable and the amount, if any, payable as a refund.
• Cancellation charges, administrative fees, taxes, fare restrictions, and other deductions may apply.
• Refund processing times depend on the airline, booking platform, payment method, and relevant procedures.
• Vasanthi Air Travels cannot guarantee that an airline ticket will be refundable or that a requested refund will be approved.

Customers should contact the concerned airline or applicable booking platform directly to raise a cancellation or refund request and follow its instructions. If we assist with communication or provide booking-related information, such assistance does not mean that we control the airline’s refund decision.

4.2 Vasanthi Air Travels Agency Service Charge

Our agency service charge is separate from the airline ticket fare. It covers the assistance and work performed by Vasanthi Air Travels in connection with the booking.

• Once work on the ticket booking request has commenced, our agency service charge is non-refundable.
• If the customer cancels the ticket, our service charge does not automatically become refundable.
• If the airline cancels or changes a flight, delays a flight, or approves a ticket-fare refund, this does not automatically make our agency service charge refundable.
• If an airline ticket refund is approved, the refund of the airline ticket amount is handled according to the applicable airline or booking-platform procedure. Our agency service charge remains separate.

5. Airline Cancellations, Delays and Schedule Changes

Airlines may cancel flights, reschedule departures, change routes, or make other operational changes. Such decisions are made by the airline and are outside our control.

Customers must follow the airline’s instructions regarding rebooking, cancellation, compensation, or refund eligibility. Any refund or alternative travel arrangement will be subject to the airline’s applicable rules and relevant law.

Our agency service charge for work already commenced remains separate from any airline refund or compensation. We do not guarantee compensation or a particular outcome from the airline.

6. Visa Assistance – Cancellation and Refunds

Our visa assistance service may include guidance on destination-specific requirements, document checklists, application procedures, and related coordination.

• Our agency service charge is non-refundable once work on the visa assistance request has commenced.
• Visa application fees, appointment fees, embassy or consulate charges, and other third-party fees are governed by the relevant authority or service provider.
• Visa approval, rejection, processing time, and the final decision rest with the relevant embassy, consulate, immigration authority, or other competent authority.
• We do not guarantee visa approval or a specific processing time.

If a visa application is rejected, delayed, or not processed, this does not automatically entitle the customer to a refund of our agency service charge. Any eligible third-party refund must be requested according to the relevant provider’s rules.

7. Passport Application Assistance – Cancellation and Refunds

Our passport assistance service provides guidance on application procedures, required documents, appointments, and related requirements.

• Our service charge is non-refundable once work on the passport assistance request has commenced.
• Government passport fees and other third-party charges are subject to the rules of the relevant authority.
• Passport issuance, rejection, appointment availability, and processing time are determined by the relevant government authority.
• We do not guarantee passport approval or issuance within a particular period.

Any eligible refund of government or third-party fees must be requested through the applicable authority or payment channel.

8. Certificate Attestation Services

Certificate attestation requirements, procedures, charges, and processing times may vary depending on the document type, issuing authority, destination country, and other relevant factors.

Our agency service charge is non-refundable once work on the attestation request has commenced. Government, embassy, consulate, courier, and other third-party fees are subject to the applicable provider’s refund rules.

We cannot guarantee acceptance of a document or completion within a specific period where the outcome depends on an external authority or service provider.

9. Domestic and International Tour Packages

Tour packages may include services provided by airlines, hotels, transport operators, tour operators, and other third parties. Cancellation terms may vary depending on the package and the individual service providers involved.

• Our agency service charge is non-refundable once work on the requested package or booking has commenced.
• Hotel, transport, airline, tour operator, and other third-party cancellation fees may apply.
• Any eligible refund for a third-party booking is subject to that provider’s cancellation policy and applicable law.
• Customers should review the package itinerary, inclusions, exclusions, payment terms, and cancellation conditions before confirming a booking.

Where a separate written quotation or package agreement contains specific cancellation terms, those terms will also apply, subject to applicable law.

10. Government Fees and Other Third-Party Charges

Some services require payments to government departments, airlines, embassies, consulates, hotels, transport operators, booking platforms, or other third-party providers.

These amounts are separate from our agency service charge. Refund eligibility, deductions, and processing timelines for third-party payments are determined by the relevant provider and applicable law.

Where a third-party refund is available, the customer may need to submit a request directly to that provider. Vasanthi Air Travels cannot promise a refund of amounts that are controlled by another organisation.

11. How to Request a Cancellation or Refund

To request a cancellation or ask about refund eligibility, contact Vasanthi Air Travels using the details provided below. Include the following information where available:

• Your full name and contact number.
• The service purchased.
• The date of payment and payment reference, if available.
• Your booking or service reference, if applicable.
• The reason for your cancellation or refund request.

We will review the request and explain the applicable process. Submitting a request does not guarantee that a refund will be approved.

12. Refund Processing

Where Vasanthi Air Travels confirms that a refund is due from us, the processing method and timeline will be communicated to the customer. Processing may depend on payment-provider procedures and applicable legal requirements.

Refunds relating to airline tickets or other third-party services must be handled according to the relevant provider’s process. Their processing times and decisions are outside our control.

13. Payment Gateway and Transaction Charges

Payments made through an online payment gateway may be subject to payment-provider terms and transaction charges. Any applicable charges or deductions will be handled in accordance with the payment provider’s rules and applicable law.

We will communicate any relevant refund deductions or limitations where applicable and where the information is available to us.

14. Incorrect Information and Customer Responsibilities

Customers are responsible for providing accurate names, contact details, travel dates, passenger information, passport details, and other information required for the requested service.

If incorrect or incomplete information causes additional work, delays, booking issues, or application problems, the customer may need to bear applicable correction costs or third-party charges. Our service charge remains non-refundable once work has commenced, subject to applicable law.

15. Policy Exceptions and Applicable Rights

This policy describes our general approach to cancellations and refunds. Specific written quotations, booking confirmations, or service agreements may contain additional terms relevant to an individual service.

Nothing in this policy is intended to exclude or restrict any consumer right or legal remedy that cannot lawfully be excluded or restricted under applicable Indian law. Where a mandatory legal requirement conflicts with this policy, the applicable legal requirement will prevail.
